The 60-second follow-up: the texts I send every new lead
Most clinics don't have a lead problem. They have a follow-up problem. The leads come in, the front desk calls the next morning, nobody picks up, and the ad gets blamed.
Why 60 seconds
Somebody who just tapped your ad and typed their number is thinking about you right now. In ten minutes they're back to their day. Tomorrow morning they're a stranger who screens unknown calls. Every study on lead response for the last fifteen years has found the same thing: the odds of reaching someone fall off a cliff after the first few minutes.
A text sent automatically within a minute solves this without anyone at the clinic doing anything. It doesn't have to be clever. It has to be fast, sound like a person, and end in one question.
The sequence
Replace the brackets. Keep the length. Each message is one idea and one question.
Message 1 · 60 seconds after the formHi [First name], it's [Your name] at [Clinic]. Got your request for the [offer]. Want to grab a time this week? Here's the link: [booking link]. Or reply with a day that works for you.
Message 2 · next day, 10 am, only if not bookedHi [First name], [Your name] again from [Clinic]. Still have a couple of spots this week for the [offer]. Want one? [booking link]
Message 3 · day 3Quick question, [First name]: is there anything you'd like to know about [treatment] before booking? Happy to answer right here.
Message 4 · day 7Last one from me, [First name]. If the timing isn't right, no problem at all. When you're ready, this link will still work: [booking link]
Message 5 · 24 hours before the appointmentSee you tomorrow at [time], [First name]. We're at [address]. Reply C to confirm or R if you need to reschedule.
Add a two-hour reminder on the day if your no-show rate is above 30%. Stop the sequence the moment they book or reply "stop".
The same sequence in Spanish
If the lead came from a Spanish ad, the texts go out in Spanish. Don't send English to a Spanish lead: it reads as "this place isn't for me".
The rules that keep this legal and working
- Get consent on the form. A line like "By submitting, you agree to receive text messages about your request. Reply STOP to opt out." under the submit button. U.S. law (TCPA) requires it for automated texts, and carriers filter numbers that skip it.
- Include an opt-out in the first message if your platform doesn't add it automatically. "Reply STOP to opt out" is enough.
- Send between 8 am and 8 pm, the lead's local time. The first message is the only exception, and only because they just wrote to you.
- Name the clinic every time. People forget what they signed up for.
- One question per message. Two questions get zero answers.
- Reply from a human when they answer. The automation gets the conversation started. The front desk finishes it, ideally within minutes.
What to send it with
Any tool your booking software can trigger from a form submission. The tool matters much less than the timing: I've seen the same sequence work from expensive all-in-one platforms and from a $20-a-month texting service. If your current setup can't send a text within a minute of the form, that's the first thing to fix, before touching the ads.
